Responsible for specialized clerical work and office support activities involving typing, data entry, file maintenance, and record processing.

Must work closely with the Planning Manager, Planning Supervisor, Operation Analyst and Project Planners for assignment of tasks and make sure tasks are being performed in an efficient, cost effective manner. 

     

ESSENTIAL RESPONSIBILITIES

1. REPORTING

  • Work under the guidance of the Planning Manager to improve upon or develop reports.   
  • Download data for updating of reports
  • Update Daily reports and send to distribution lists.
  • Maintain weekly and monthly reports as requested by the Planning Manager.  
  • Using available data, develop reports and present in most effective manner possible. 

   

2. MISCELLANIES

  • Other duties as required by Planning Manager or upper management. 
  • Perform either specialized clerical duties or a wide variety of routine clerical tasks of confidential information.
  • Perform data entry, typing, and filing of all related data.
  • Neatly file and maintain various documents 

   

3. ADMINISTRATIVE

  • Raise and close Main Service Orders and Work Orders as per process PL-001 and RSM 5.4
  • Under supervision of the Planning Manager, ensure that all aircraft are accurately inducted into the planning reporting system. 
  • Maintain a working knowledge of PL-001, PL-003, PL-004 and RSM 5.4 as they pertain to planning and work order operations. 
  • Assist other administrative staff as needed due to absence or peak workload.
  • Other duties as assigned by Planning Manager. 

   

JOB SPECIFICATIONS

Good working knowledge or the ability to acquire skills in the following:

  • Interpretation and understanding of contractual terms and language. 
  • Understanding of data collection and billing systems. 
  • Entering and extracting data in SAP and Aircraft information Management System. (AIMS) 
  • Working knowledge of Microsoft Excel. 

           -  Formulas, functions and charting

           -  Ability to combine knowledge of AIMS systems and Excel functions to develop effective reporting systems.

           -  Collect data and analyze for problems or trends

    

WORKING ENVIRONMENT

SUPERVISION

Reports to the Manager of Planning.  Under general supervision.  Is expected to perform duties with minimal direct supervision. 

    

INTERPERSONAL RELATIONS

A high level of interpersonal skills is required to maintain effective relationship with co-workers. 

   

PHYSICAL ENVIRONMENT

Essential responsibilities are performed in a climate controlled office but not limited to the office.  

    

JOB QUALIFICATIONS  

EDUCATION

High School diploma or GED required. 

    

EXPERIENCE

Intermediate to advanced Computer skills, ability to work with Microsoft Excel. Ability to interpret aircraft related technical information. Typing, data entry and accounting experience a plus.
